Getting Started

How do I set up my organization?

When you first open RosterRocket, you'll be guided through an onboarding process where you:

  • Name your team/company
  • Specify your team size
  • Select work patterns (5 on 2 off, 4 on 4 off, etc.)
  • Choose duty codes (MS, ES, NS, OFF, AL, etc.)
  • Set maximum hours for each group

The setup takes about 2-3 minutes and creates sample data to help you get started.

What's the difference between Manager and Staff accounts?

Manager accounts can create rosters, manage staff, publish schedules, and access all features including reports and analytics.

Staff accounts can view their assigned rosters, acknowledge schedules, and update their personal profile (photo, contact info).

How do I add staff members?

Go to the Management tab → Staff Management → Tap the + button. Enter the staff member's details including name, mobile phone (used for PIN login), email, and assign them to a roster group.

How does Auto-Award work?

Auto-Award is RosterRocket's intelligent scheduling feature that automatically creates fair rosters based on:

  • Work patterns (e.g., 5 on 2 off, 4 on 4 off)
  • Monthly hour limits
  • Consecutive work day limits
  • Minimum rest periods
  • Existing leave and training

Simply select a date range and tap "Generate Roster" to create a complete schedule in seconds.

Can I manually edit rosters after Auto-Award?

Yes! Auto-Award creates a starting point, but you can:

  • Drag and drop duties to different staff or dates
  • Tap any cell to assign a different duty
  • Edit duty times and details
  • Add leave, training, or sick days

How do I publish rosters to my team?

When your roster is ready:

  1. Tap the Publish button in the Schedule view
  2. Select the date range to publish
  3. Choose whether to send notifications
  4. Tap Publish All Duties

Staff members will receive a push notification and can view the roster in their app immediately.

What happens when I publish a roster?

Publishing a roster:

  • Locks the entries (prevents accidental editing)
  • Syncs to Firebase cloud (available on all devices)
  • Sends push notifications to staff
  • Marks rosters as "acknowledged" when staff view them

You can unpublish rosters if you need to make changes.

Do staff members need to pay?

No! Staff access is always free. Only managers need a subscription for premium features. Staff can view rosters, receive notifications, and update their profile at no cost.

How do I cancel my subscription?

To cancel your Premium subscription:

  1. Open iPhone Settings
  2. Tap your name at the top
  3. Tap Subscriptions
  4. Select RosterRocket
  5. Tap Cancel Subscription

You'll retain premium features until the end of your billing period. Core features remain free.

Data & Sync

How does data sync work?

RosterRocket uses a hybrid approach:

  • Local Storage: Data is stored on your device using SwiftData (fast, offline-first)
  • Cloud Sync: Data syncs to Firebase Firestore for real-time multi-device access
  • Automatic: Changes sync automatically when you have internet connection

You can use the app offline, and changes will sync when you're back online.

Is my data secure?

Yes! We take security seriously:

  • 🔒 Data encrypted in transit (TLS/SSL)
  • 🔒 Data encrypted at rest on Firebase servers
  • 🔐 PIN-based authentication
  • 🏢 Organization-based access control
  • 👥 Role-based permissions (manager vs. staff)

Can I export my data?

Yes! Managers can export data to CSV format:

  • Staff Export: All staff details, roles, contact info
  • Roster Export: Complete roster data with dates, duties, hours
  • Reports: Hours worked, sick leave, training, labor costs

Go to Settings → Data Management → Export to download CSV files.

What happens if I delete the app?

Your data remains safe in Firebase cloud storage. If you reinstall the app and log in with the same account, all your data will sync back automatically.

To permanently delete your data, use the "Delete Account" option in Settings before uninstalling.

Troubleshooting

Push notifications aren't working

If you're not receiving roster notifications:

  1. Check iPhone Settings → Notifications → RosterRocket
  2. Ensure "Allow Notifications" is enabled
  3. Check that "Badges," "Sounds," and "Banners" are turned on
  4. Make sure you have an internet connection
  5. Try logging out and back in to refresh your notification token

Data isn't syncing between devices

If changes aren't appearing on other devices:

  • Ensure both devices have internet connection
  • Check that you're logged in with the same account
  • Try pulling down to refresh in the Schedule view
  • Wait 60 seconds (auto-sync interval for staff)
  • Force quit and reopen the app

I forgot my PIN

Your PIN is the last 4 digits of your mobile phone number. If you don't remember your phone number:

  • Contact your manager to look up your phone number in Staff Management
  • Managers can update your phone number if needed
  • Master PIN "0000" works for any staff ID (managers only)

Auto-Award isn't working correctly

If Auto-Award produces unexpected results:

  • Check that roster groups have correct work patterns set
  • Verify shift times (7 AM-7 PM for 12-hour, 8 AM-4 PM for 8-hour)
  • Ensure duty codes match group shift hours (WR12 for 12-hour groups)
  • Check monthly hour limits in group settings
  • Review existing leave/training that may affect assignments

App is running slowly

To improve performance:

  • Close other apps to free up memory
  • Restart your device
  • Update to the latest version of RosterRocket
  • Update to the latest iOS version
  • Clear old roster data (export first if needed)

Advanced Features

How do I set up multi-location rosters?

RosterRocket supports multiple locations using roster groups:

  1. Create a roster group for each location (e.g., "Downtown," "Airport," "Mall")
  2. Set default daily demand for each group (e.g., 5, 8, 3 staff)
  3. Assign staff to their primary location group
  4. Use the group filter in Schedule view to focus on one location

What are staffing demand levels?

Staffing demand helps you plan ahead by setting required staff counts:

  • Low: Quiet periods (fewer staff needed)
  • Normal: Regular operations
  • High: Busy periods (more staff needed)
  • Critical: Peak demand (maximum staff)

The Schedule view shows color-coded indicators when you're understaffed (orange) or critically short (red).

How do workload fairness reports work?

Workload fairness reports (Premium feature) analyze:

  • Hours Distribution: Who's working more/less than average
  • Weekend Shifts: Fair rotation of weekend work
  • Night Shifts: Equal distribution of difficult shifts

Color coding shows: Green (fair ±10%), Yellow (moderate ±20%), Red (unfair >20%)
